Review and send, and resending to members who didn't open
New Sending a newsletter is now one checklist: who it goes to, who it is from, the subject and when. All members is the starting point. You can also pick memberships or tags from one searchable list, with the number of members each one reaches, and choose whether members need to be in any of them or in all of them.
New Leave out members with a tag, such as members who have resigned, and Flok shows how many that removes.
New Resend to members who didn't open. On a sent newsletter, choose "Resend to non-openers": Flok makes a copy you can change, and sends it only to members who received the original and didn't open it. The original keeps its own report.
Improved The number on the send button is exactly the number of emails that go out. A newsletter without a subject can be finished right in the dialog, and a scheduled send shows the date and time in your club's time zone.
Newsletters get a name, and a preview text
New Every newsletter now has an internal name that only your team sees, so you can find it in the list. The subject your members see can wait until you send. A draft without one says so in the list.
New Write a preview text: the short line inboxes show after the subject. Leave it empty and inboxes show the first line of your email, as before.
New Creating a newsletter asks for its name first, and you can start from an empty email with your logo, from a template, or from a copy of an earlier newsletter.
Improved In the editor, the sender, subject and preview text sit above the email, with a preview of how they look in an inbox. The newsletter list shows who each one went to.
A smoother newsletter editor
Fixed Typing in the newsletter editor no longer stalls. The editor now saves once a minute, and whenever you leave it.
Fixed Leaving the editor no longer loses your latest changes. If saving fails, Flok asks before you go.
Improved Text pasted from Word, Google Docs or a website keeps its paragraphs, lists, bold, italic and links, and takes your newsletter's own fonts and colours.
Dokumente — your club's archive
New A shared archive for the documents your club needs to run: statutes, minutes, the annual accounts, contracts, the logo. Each folder decides who sees it — the board, one role such as the treasurer, or every member. Available on the Club, Plus and Max plans, with 2, 5 and 10 GB of storage.
New Drag files onto the page to upload them, and keep working elsewhere in Flok while they go. A new version keeps the earlier ones, and a deleted document waits 30 days in the bin before it is gone.
New Look at photos, PDFs and videos without downloading them, and take a whole folder as one ZIP file.
New Members find the folders meant for them in the member portal, under Dokumente.
New Share a document or a folder with someone outside the club through a link that expires, with an optional password and download limit. One list shows every link your club has made, and any of them can be withdrawn at once.
New Publish your statutes and privacy notice: they appear on your join page and at a fixed address you can print, which always shows the current version.
Ask the Pilot about your own club
New Ask the Pilot now answers questions about your club's members, events, tickets and invoices: who is coming to the next event for the first time, which members have not been to an event for six months, how many members joined each month, what your events earned, who has an overdue invoice. Answers come as a table, members and events are links to their pages, and above every answer Flok writes what it counted, so you can see how your question was understood.
New Flok works the answer out from your own data. The AI only describes what you are asking; Flok builds the query itself, runs it with your permissions and shows the result. The AI sees the question, the names and dates of your events and the kinds of data Flok holds, never a member or a figure. Everyone sees only what their role allows.
New Ask the Pilot keeps separate conversations. Start a new one at any time, and find earlier ones under History.
Improved A new switch in Settings › Pilot, "Questions about your members and events", turns the club questions on or off.
Pilot now runs in Switzerland
New Every Pilot feature now runs on Infomaniak's AI service, in its own data centres in Switzerland: drafts, payment reminders, receipt reading, bank matching, Ask the Pilot and the support assistant on your event pages. Google no longer receives anything from Flok, and Infomaniak does not store or log the requests.
Improved Switching a feature off in Settings › Pilot now stops it on our server as well, not only in the app. Reading emailed membership applications and translating your emails have their own switches, and Ask the Pilot can now be switched off too.
Improved The support assistant removes email addresses, phone numbers, IBANs and card numbers from a visitor's message before the AI sees it.
Improved Churn risk now scores members on their real event attendance, newsletter opens and open invoices.

The year's membership invoices, in one run
New Invoices › Annual invoices raises the membership invoice for every member at once. You choose who is included, set the period and the dates, adjust an amount if this year is different, and send — in four steps, with nothing created until the last one.
New Before anything exists you see exactly what will happen: how many invoices, the total, how many go by email and how many you will print, and who is left out with the reason for each. A specimen PDF shows one real invoice, marked "do not use for payment" and carrying no amount, so you can check the layout without anyone being able to pay it by mistake.
New Every invoice carries the Swiss QR payment part, so a member pays by pointing their banking app at it and the payment comes back knowing which invoice it settles. Add your QR-IBAN under Settings › Financial › QR invoice first; without one the invoices go out as before.
New The run happens on our server, in batches. Close the tab, shut the laptop or lose the connection — it carries on, and every invoice is created once and sent once.
New Members without an email address become a print pile: one PDF, one page each, payment part at the bottom to tear off, sized for C5 window envelopes. An email that bounces is listed with the reason — correct the address and send again, or move it onto the print pile. Either way it is the same invoice with the same reference, never a second bill.
Improved Passive and honorary members, members whose company package covers their dues, and anyone already invoiced for the period are never charged twice or by accident — and the screen says so by name rather than leaving you to check.
An audit log you can actually read
Improved Settings › Audit log now says in plain words what happened — "Updated member Marieke Hoes", "Checked in ticket order #6760DD" — grouped by day. Search by name or email, and filter by type of change, area, person and time.
New Click any entry to see who made the change, how it was made, and every field before and after. One click takes you to the member, event or setting it is about, with its whole history alongside.
New Changes to your bank details, online payment settings, sections, user invitations, roles and custom fields are now recorded too. Payment keys are never stored — only the fact that one changed.
New Archive entries you no longer need to see, or let Flok archive anything older than 30 days every night. Archived entries stay searchable, can be exported and restored, and nothing is ever edited or deleted. Export any view as a CSV file.
Finanzen — the club's books, kept properly
New A real set of books for your treasurer. Every booking has two sides, nothing can be quietly changed once it is entered, and a mistake is corrected with a visible counter-booking rather than an eraser. Available on the Verein and Verband plans.
New A Swiss chart of accounts is ready from the start, and what Flok already knows books itself: an invoice you issue, and a payment that arrives by card, by bank or in cash.
New Erfolgsrechnung and Bilanz whenever you want them, with last year beside this year, a budget column you can fill in, and a note you can leave on any figure for the members' meeting.
New Close the financial year when you are finished, and reopen it if something turns up — who closed it and who reopened it stays on the record.
New Your Revisorin or Revisor gets a login that shows the books and nothing else: no member list, no events, no newsletters. They tick off what they have checked, leave a remark where something needs explaining, and sign off when they are satisfied.
New Photograph a receipt with your phone and Flok reads the date, the amount and the shop. You confirm before anything is booked, and the receipt stays attached to its entry.
New Coming from another program? Bring your existing bookings in from a CSV file. Flok works out which column is which and shows you exactly what it will book before anything is written.
Membership applications from your website
New A ready-made signup form for your club. Share it as a link or a QR code, or put it on your own website with two lines of code. You decide which fields it shows and which are required, and it opens in your club's language with the others one click away.
New Already have a form on your website? Connect it to Flok by webhook — WordPress, Typeform, Tally, Jotform and Zapier all work — and match its fields once.
New If your form can only send an email, forward it to your club's own Flok address. Flok reads the fields and files the application for you.
New Every application waits under Members › Applications. Check and correct the details, ask the applicant a question by email, then approve to create the member — or merge them with someone already in your list.
Improved Built-in protection against bots and spam: applicants confirm their email address, and repeated or automated sign-ups are held back.
Member directory — members can find each other
New Members can appear in a directory in the member portal: one line about themselves, what they do, what they can help with and what they are looking for, with a photo and a link. Available on the Verein and Verband plans; your club decides whether to switch it on.
New Each member chooses, detail by detail, whether it is visible to fellow members, available on request, or hidden. A hidden detail is never sent to anyone's screen.
New Members can ask for a detail that is available on request. The owner accepts or declines, and can withdraw it again later.
New People attending an event can find each other the same way, and ticket buyers can choose to be listed when they check out.
