Getting started

How do I create my club on Flok?

Sign up at /signup, pick a slug (this becomes getflok.app/your-slug) and confirm your email. Your first user is automatically the owner.

Can I invite additional admins?

Yes. Go to Settings → Users and send an invite by email. Assign a standard role (owner, admin, editor, viewer) or a custom role you built in Settings → Roles.

Which languages does Flok support?

The interface is available in English, German, Dutch, French and Italian. Members receive emails in their preferred language.

How do I import members from a spreadsheet?

Go to Members → Import and upload a CSV or XLSX file. Flok maps columns automatically and previews the result before writing anything to your club.

Can I add custom data to a member profile?

Yes. In Settings → Custom fields you can add text, number, date, dropdown or checkbox fields — they appear on every member profile and in exports.

What happens when I delete a member?

Deletion is a soft-delete: the record is hidden from lists but retained for audit and invoice history. Owners can restore or permanently erase members from the trash.

Membership fees & invoicing

Which payment providers can I connect?

Stripe and Payrexx per tenant, on every plan. Each club connects its own account so payouts land directly in your bank.

Does Flok support SEPA direct debit and QR-bill?

Yes — SEPA direct debit and Swiss QR-bill are included from the Club plan up, alongside Stripe and Payrexx. The Starter plan covers card and standard invoice payments only.

Can I export invoices for my accountant?

DATEV and Bexio export are a Federation-plan feature, built for umbrella bodies consolidating accounting across multiple clubs. Every plan can export raw invoice data as CSV from Settings → Data.

How do automatic reminders work?

Invoices become "overdue" after their due date. Flok Pilot drafts polite reminder emails you can review and send in one click.

Are invoice numbers gap-free?

Yes — numbering is atomic per tenant and per year, which keeps your accounting export clean.

Events & tickets

Can non-members buy event tickets?

Yes. Every event has a public page. You can restrict specific tickets to logged-in members only.

How do attendees authenticate for member-only tickets?

They enter their email and receive a 6-digit code (OTP) — no password required.

Newsletters

Does the builder autosave?

Yes. Drafts save every 1.5 seconds. The Back button flushes any pending changes before navigating away.

Can I send from my own domain?

Yes. Configure DKIM/SPF for your domain in Settings → Email to send as news@yourclub.org.

Pilot & AI

What data does the Pilot see?

Only data inside your own tenant, scoped to whatever it's working on — drafting a newsletter uses your newsletter content and recipient list, reconciling transactions uses your invoice and payment records. It never sees other tenants' data, and member data is never used to train AI models.

Can the Pilot send an email or charge a member without me approving it?

No. Every Pilot action — a drafted newsletter, a matched bank transfer, a reminder email — is a suggestion you review first. Nothing is sent or charged until you approve it.

Can I turn off specific Pilot capabilities?

Yes. In Settings → Pilot, toggle each capability independently — newsletter drafts, event drafts, reminder drafts, optimal send-time suggestions, dashboard alerts, narrated insights, churn-risk flagging, smart import, auto-tagging, bank reconciliation and duplicate detection — without disabling the rest.

What counts toward my monthly Pilot action quota?

Each Pilot-generated draft or action (a drafted newsletter, a matched bank transaction, a churn-risk flag, and so on) counts as one action. The Starter plan includes 20 Pilot actions per month; Club and Federation include unlimited Pilot use.

Account & security

Where is my data stored?

Member data is stored in Switzerland (Zürich); static files and object storage are hosted in Frankfurt — both compliant with the Swiss Federal Act on Data Protection (nDSG) and GDPR. See our privacy policy for details.

How do I export or delete my club data?

Owners can export all data as CSV from Settings → Data. Contact privacy@getflok.app for a full account deletion.

PCI compliance for organisers

If your club sells tickets through Stripe or Payrexx on Flok, you'll see the term SAQ A once a year. Here's what it actually is, in plain language — and why it's a lot less scary than "PCI compliance" sounds.

What is SAQ A?

SAQ A ("Self-Assessment Questionnaire A") is the shortest version of a standard form that every organisation taking card payments has to fill in once a year, confirming how they handle card data. It's a short form you complete yourself with your payment provider — there's no auditor, no inspection, and no fee. Most clubs finish it in a few minutes.

Why you qualify for the short version

There are longer, much more involved versions of this form for businesses that handle card numbers directly. You don't, because of how Flok's checkout works: when someone buys a ticket, they're sent to Stripe's or Payrexx's own payment page to enter their card details — never to a form on Flok. That's what qualifies you for SAQ A instead of something heavier. See our full explanation of how payments work if you want the detail.

The one thing that would break this: never take a member or buyer's card number over the phone, by email, or in a chat message and type it in anywhere yourself — for Flok, for your bank, for anything. The moment you do that, you're handling card data directly, and the simple version no longer applies. If someone can't complete checkout themselves, ask them to try again or use a different payment method — don't take their card number down.

How to complete it

If you use Stripe: log in to your Stripe Dashboard, go to Settings → Compliance, and Stripe walks you through it there.

If you use Payrexx: Payrexx provides a pre-filled SAQ A template for merchants using their hosted checkout — check your Payrexx dashboard or ask their support for it.

Either way, keep a copy of what you submit, and download Flok's responsibility matrix (also on the security page, with a PDF download) — it answers the questions about what Flok's infrastructure does, so you're not guessing.

Once a year, that's it

A simple checklist for your annual reminder:
